Workshop Agenda
Program time: 3 hours
Session 1: Planning and Preparing for the Meeting
- List valid reasons for holding meetings and when meetings are unnecessary
- Identify restraints that might prevent a successful outcome
- Define clear-cut roles for all meeting participants
- Set an agenda and stick to it
- Determine what information to distribute before, during and after the meeting
- Establish what needs to be captured in the meeting minutes
Session 2: Facilitating the Meeting
- Establish meeting ground rules so participants know how to interact
- Keep meetings on track and get them back on track when they stray
- Encourage everyone to participate – even the quiet or reluctant attendees
- Manage overly talkative participants or groups
- Build consensus and gain buy-in for decisions
Session 3: Maximizing Meeting Results
- Identify end-of-meeting tasks that improve meeting productivity
- Incorporate closing strategies and techniques that gain commitment and yield results
- Follow up to ensure action items are completed and the meeting met its intended goals
- Conduct a self-assessment of the meeting
- Get feedback from attendees and record lessons learned
